We may collect names, email addresses, phone numbers, addresses, parent or guardian details, athlete information, school and academic details, soccer experience, eligibility information, financial need information, medical or emergency contact details, references, uploaded documents, volunteer interests, partner details, and messages submitted through our forms.
Information About Minors
KairoLink works with youth athletes. Applications involving minors must be submitted by a parent, guardian, or authorized adult. Youth application records may include sensitive information and are treated as protected program records, not ordinary contact inquiries.
How We Use Information
We use information to review applications, evaluate eligibility, coordinate program participation, communicate with parents or guardians, support athlete safety, manage volunteers and partners, respond to inquiries, administer donations and sponsorship interest, improve our website, and maintain foundation records.
Donations
Online donations are processed through Zeffy. KairoLink may receive donor contact details, donation amounts, receipt information, and campaign information from Zeffy for nonprofit administration, donor acknowledgments, and reporting. Payment card information is handled by Zeffy and is not stored by KairoLink on this website.
Third-Party Services
This website may use service providers including Netlify for hosting, Supabase for database and storage services, Zeffy for donations and fundraising, email providers for notifications, and embedded or linked services such as maps, videos, or social media platforms. These providers may process information according to their own policies and agreements.
Who Can Access Information
Access to application records, uploaded documents, and sensitive youth or family information is limited to authorized KairoLink personnel, reviewers, administrators, and service providers who need access for program, safety, operational, or legal purposes. We do not sell personal information.
Media, Photos, and Stories
KairoLink may share photos, videos, stories, or impact updates only when appropriate consent has been obtained or when the material is not personally identifying. Youth names, images, stories, and identifying details should not be published without documented parent or guardian consent.
Retention
We retain information only as long as reasonably needed for program review, athlete safety, nonprofit administration, donor records, legal compliance, audit needs, and operational purposes. Uploaded documents and sensitive application materials are reviewed periodically and may be deleted, archived, or anonymized when no longer needed.
Your Choices
You may ask to review, correct, or delete information you submitted, subject to legal, safety, donor record, and program administration requirements. Parents or guardians may contact KairoLink about youth records submitted through the website.
Security
KairoLink uses reasonable technical and organizational safeguards for submitted information, including private storage for sensitive documents where applicable, restricted administrative access, and server-side form handling. No system is completely secure, so families should avoid submitting information that is not requested.
